Offision’s Google Meet integration allows you to attach a Google Meet link to your meeting. You only have to click one button, then Offision will create the Google Meet online meeting link for you.

Requirements

  1. Active Offision user
  2. Google account
  3. Linking services setting enabled by Offision admin

How to set it up

To enable the linking service, an Offision admin should activate it. Once the feature is enabled, you can proceed with the following actions:

First, navigate to the “Linking services” and click “Google Meet”.

Afterwards, click on the “Connect to Google Meet to create an online meeting” button. From there, choose the specific Google account you wish to connect.

Once you have made your selection, Google will prompt you to grant permission for the connection. Please ensure that you accept the permissions to establish the connection successfully.

How it works

Once you have successfully connected to Google, whenever you open the booking form to create a new booking, you will find a “Google Meet” button available. By clicking this button, a Google Meet link will be automatically generated for you to attach to your meeting.

Offision’s Google Workspace integration allows you to sync your schedule between Offision and Google Calendars. You only have to update your schedule on either Offision or Google Calendar. Both systems will display the same system.

Requirements

  1. Active Offision user
  2. Google account that is linked to Google Workspace
  3. Integration setting enabled by Offision admin

How to set it up

An Offision admin needs to enable this integration. Admins, head this way to learn how to enable this feature.  

After the feature is enabled, you can go directly through Google SSO to log in to Offision. 

How it works

After enabling the sync, any changes to your schedule will be updated in both Offision and Google. Turning on the sync will not cancel any existing booking.

In Offision:

Create a booking to your schedule in the Offision web portal or mobile app and check your Google Calendar. 

In Google:

NOTE: When you’re creating booking in Google, you must make sure that you are booking the resource as a user (not as a “resource”) in order for the syncing to work correctly.

How to set it up (in Google Workspace)

In Google Workspace, go to “Account > Account settings”

Markdown “Customer ID

Go to Directory -> Buildings and resources -> Manage resources

Click the “+ (Add)” button to add resources

Fill in building, floor, resource name, and capacity; Click “ADD RESOURCE

Go to Calendar and click “Settings”, go to “Add calendar -> Browse resources”

Select the “Resources” you need

In the “Calendar settings”, select “Time zone”

For auto-accept invitations, select “Automatically add all invitations to this calendar”

How to set it up (in Offision – initial set-up)

In the initial setup page in Offision, click “Setup” of Rooms

Select “Connect with Google Workspace”

Copy the Calendar ID of the room in Google Workspace to the Room’s email address field in the “Add room” dialog.

Click “Add room” and “Done”.

How to set it up (in Offision – management console set-up)

You can also set up the integration after initial setup in the management console. Go to “Integrations” and select “Google Workspace integration”.

Click the “Add” button in the configuration

Input the “Customer ID” and click “Connect Offision to your organization by Login via the user account under your organization”.

Copy the Calendar ID of the room in Google Workspace to the Room’s email address field in the “Add room” dialog.

Click “Add room” and “Done”.

After integration set-up

After the integration is successfully set up, then users need to connect their Google account (if they haven’t already).

We proudly announce that our smart office platform ONES version 2.11.1 was released on 9 Nov 2023.

Feature Improvement

In the minor update, we will have the following improvements:

  • Add an Import image button on the floor plan editor to allow users to import an image as the floor image 
  • Add a Time zone button on the booking form to allow users to switch their time zone if they are in a different time zone
  • Add IP restriction to the policy to limit access from other IP addresses. Users will only be able to remotely check in on the user app or scan the QR code on the E-paper using the specified IP address 
  • Add more data to be shown in the visitor overview report 

Bug fixing

In the minor update, we will have the following bug fixes:

  • Fix the bug where the “Invite visitor” feature of the Add-in incorrectly identifies an email address containing uppercase letters as an internal user
  • Fix the bug where the visitor badge cannot display the full name of the visitor when the visitor’s name is too long

Add Japanese language support 

こんにちは!We are excited to announce that our system now supports the Japanese language!  Users can now select Japanese in the admin console as the system language and change the language on the user app and various devices.

New O365 integration

In order to cater to different security concerns of various organizations, we have introduced more meticulous 365 integration with different levels of permission requests:

  • Application permission
  • Delegated permission
  • Delegated resource only
  • Application resource only

Search people location

Users can now use the “Search people location” function in the user app to find out what room or desk their colleagues have reserved.

Other updates

  • Add Schedule view on Resources page in User App 
  • Improve user interface with animations and updated button icons
  • The time zone of time will be displayed on the email

We proudly announce that our smart office platform ONES version 2.9 has been released on 1 Feb 2022.

Combine room

ONES newly introduces the “combined room” feature, which allows users to reserve multiple rooms as a single unit. This can greatly simplify the room booking process for large meetings or events that require multiple rooms.

Instead of having to book each room separately, users can reserve all the required rooms in one step, making it easier and more efficient to plan and organize such events.

This feature can also help to ensure that rooms are used effectively and avoid overbooking conflicts, leading to a better overall experience for both office managers and employees.

Booking approval

ONES newly introduces the “booking approval” feature, which allows for a review and approval process before a room reservation is confirmed.

The approval process typically involves some designated individuals who review and approve or reject room booking requests. You can also set it in the system if other users can also await approval.

Booking history

Users now can check the action history of bookings in the dialog, which will show the action date, who make the action, and the action detail.

This allows users easily to review who create, edit, check-in, and delete the booking at what time.

Customizable booking extra fields

Room managers now can add extra reservation form fields for office resources such as room, desk, and facility.

System support field types such as yes/no, option, and text. These fields can be set as compulsory and will be included in the export excel for further data analytics.

Floor plan editor

ONES proudly introduces our self-developed floor plan editor in our system. Now users can freely edit the floor plan map directly on our editor, by adding, moving, and deleting the desks and rooms.

Support Qbic Occupancy sensor system

ONES now support the Qbic Occupancy sensor system, helping users easily implement their IoT system via Qbic technology.

OQ sensor/s can be installed on the ceiling of an area that requires motion detection, causing the LED to show the selected color representation of the status.

iPad support label printer

Users now can use iPad as visitor self-service kiosks which print the visitor badge by label printer via wireless Bluetooth connection.
