The state of hybrid working in Europe for 2023 https://ones.software/blog/2023/04/26/the-state-of-hybrid-working-in-europe-for-2023/?utm_source=rss&utm_medium=rss&utm_campaign=the-state-of-hybrid-working-in-europe-for-2023 Wed, 26 Apr 2023 03:28:43 +0000 https://ones.software/blog/?p=3282 Okta outlines the ‘new normals’ of hybrid working.

The post The state of hybrid working in Europe for 2023 first appeared on ONEs Blog.

]]>
The flexible work model approach is no longer merely a short-term, stopgap tool used by organizations to keep operations running during a crisis. It is currently the preferred workplace strategy on which company leaders rely to establish long-term resilience.

A recent report by Okta, titled “The Okta Hybrid work Report 2023” provides insights into the state of hybrid working in Germany, France, the Netherlands, and Sweden about their organizations’ existing and future hybrid
work plans, the associated challenges they’re encountering, and their efforts to balance productivity and security.

Adaption of hybrid working in EU countries

Working from home is now recognized as a legal right rather than a benefit across the EU, particularly in the Netherlands. Regulatory bodies and governments across Europe are proposing new legislation that would need workplace flexibility.

According to the report, the great majority of European organizations have implemented some sort of hybrid work. Today’s corporate executives must strike the correct mix between in-office and remote work, which may vary depending on the organization and team.

All-remote firms are still uncommon in Europe, but a considerable proportion of employers (43%) now allow their on-site employees to work from home or another place for a few days each week or month. 45% of European companies enable workers to work remotely up to three days each week.

The most common hybrid working model overall and in all countries except Sweden is the office-first hybrid (in which the organization determines when individuals, departments, or teams can work remotely).

Remote workers are typically considered more productive

Remote employees are often deemed more productive than their in-office colleagues across Europe.

63% of respondents believe that remote work leads to increased productivity. Approximately one-third of Swedes and Germans believe that location has no impact on worker productivity. The UK has the biggest proportion of survey respondents (15%) who believe that remote work affects productivity.

As a result, European organizations continue to experiment and iterate based on what they’re learning. As they do so, they will need to continue to invest in technology that can optimize security and user experience within the working models that best match the demands of the organization in the long run.

Reimagine the office layout

The fact that office-first hybrid has become the dominant hybrid working model across Europe demonstrates that the physical office continues to play an essential role in organizations.

According to the JLL Global Research Future of Work Survey 2022, at least 73% of businesses want to lower the amount of dedicated desk space in their workplaces while increasing the amount of open co-working space accessible to teams.

Organisations now view collaboration as the primary purpose of their physical workspaces, with 55% of larger enterprises ranking it as one of their top priorities.

72% of participants agree that the physical office will remain central to their culture in the long term, and 77% say investing in quality is more important than expanding the total footprint.

Constant reassessment of the hybrid work model

By the report, 75% of organizations in the EU plan to reassess their hybrid work model within the next 12 months. Because the transition to mainstream acceptance of hybrid work is still in its early stages, working models and how they are implemented are constantly being reassessed.

Modern firms must develop methods to work that will help them retain people and build strong, long-term organizational cultures. They must, however, be prepared to adapt to present and future changes, whether regulatory, economic, or technological.

Companies will need to adapt technology that enables workers to work seamlessly from their offices, homes, and anyplace else where they feel productive as long as both off-site and on-site work is prioritized – a trend that is expected to continue for the foreseeable future.

Smart office system helps

As organizations adapt to hybrid working, technology solutions such as smart office systems can play a critical role in facilitating this transition.

Smart office systems like ONES leverage Internet of Things (IoT) devices and sensors to create a more connected and flexible workplace that can accommodate the needs of both in-person and remote workers.

Smart office systems can enable employees to reserve workspaces and meeting rooms in advance, regardless of their location. This can help remote workers feel more connected to the office and ensure that they have access to the resources they need when they come into the office.

Smart office systems can also help organizations manage their real estate more efficiently by providing insights into how workspaces are being used and identifying areas where space can be optimized.

Combine room

ONES newly introduces the “combined room” feature, which allows users to reserve multiple rooms as a single unit. This can greatly simplify the room booking process for large meetings or events that require multiple rooms.

Instead of having to book each room separately, users can reserve all the required rooms in one step, making it easier and more efficient to plan and organize such events.

This feature can also help to ensure that rooms are used effectively and avoid overbooking conflicts, leading to a better overall experience for both office managers and employees.

Booking approval

ONES newly introduces the “booking approval” feature, which allows for a review and approval process before a room reservation is confirmed.

The approval process typically involves some designated individuals who review and approve or reject room booking requests. You can also set it in the system if other users can also await approval.

Booking history

Users now can check the action history of bookings in the dialog, which will show the action date, who make the action, and the action detail.

This allows users easily to review who create, edit, check-in, and delete the booking at what time.

Customizable booking extra fields

Room managers now can add extra reservation form fields for office resources such as room, desk, and facility.

System support field types such as yes/no, option, and text. These fields can be set as compulsory and will be included in the export excel for further data analytics.

Floor plan editor

ONES proudly introduces our self-developed floor plan editor in our system. Now users can freely edit the floor plan map directly on our editor, by adding, moving, and deleting the desks and rooms.

Support Qbic Occupancy sensor system

ONES now support the Qbic Occupancy sensor system, helping users easily implement their IoT system via Qbic technology.

OQ sensor/s can be installed on the ceiling of an area that requires motion detection, causing the LED to show the selected color representation of the status.

Getting employees back in the office has become a hot topic recently and will last at least until 2023, companies are still looking for ways to get them back in the office.

However, forcing employees to return to the office is not a wise option as requiring the employees, who are accustomed to working flexibly, to return to the office can only have a negative effect, and even lead to talent loss.

The best approach is to adopt an incentive-based policy that provides an incentive to attract employees returning to the office. You also need to know that your workplace is ready to welcome them back.

Incentives to Encourage Return to Your Office

Workspace renovation – Redesign your office into a dynamic and comfortable workspace.

Commuter benefits – Provide your employees with travel allowances, and even free shuttle buses.

Free meals – Some companies offer complimentary snacks and lunches to employees.

Health and wellness facilities – Provide a gym in the workplace or a spiritual retreat room with a focus on wellness.

Hybrid work schedules – Allows your employees to work remotely sometimes and provide personalized work hours for each staff.

Workplace concerns you need to know

In addition to implementing the above motivational measures, you also need to be aware of the problems your employees encounter when working remotely so that you don’t repeat the mistakes in your workplace.

We’ve collected some data and made some analysis to support your decision to return to work.

Workspace management

When employees return to their workplace and find too many empty workspaces, they feel empty and sparse.

Therefore, you need to optimize your office space, most importantly by centralizing work areas and rebuilding spaces for teamwork. This will help attract employees back to the office. Some data shows that centralized work areas make employees happier, and their attendance steadily improves.

Microsoft’s report found that 85% of employees enter the office because they are motivated by a renewed team bond, so when rebuilding your workspace, you need to pay attention to a clear division of work areas.

Facilitate communication everywhere

Another thing employees crave is the ability to talk face-to-face. The epidemic causes employees to work alone for long periods of time, making them mental fatigue which can affect the quality of their work. Face-to-face conversations can provide immediate feedback and make work run more smoothly.

Microsoft reports that employees will visit the office more often if they know their immediate team member will be there (73%) or their work friend is there (74%).

Communicating with supervisors in a relaxed space makes for a more casual work atmosphere and brings both parties closer together more easily, which helps build a good work culture.

Some companies create their offices as friendly and casual environments and also provide equipment that is conducive to work.

Appropriate Work Flexibility

Employees like to work from home because working remotely has high flexibility. So, when they work in the workplace, it is important for you to provide a flexible work style in your workplace.

One simple thing is to provide them with flexible office facilities, such as a hot desk, so that they can change their work location in anytime and feel as relaxed as if they were working at home. This policy can relieve employees’ anxiety and will not highly refuse to return to the workplace.

Reports indicate that more than 80% of managers expect to adopt more flexible work principles in the post-epidemic era to support employees to work from home and encourage them to return to the office.

Systematic work devices

Nowadays, hybrid workplaces are implementing different collaboration tools or management systems to improve employee productivity. For example, Microsoft Teams is a great collaboration tool that allows employees to have real-time conversations and store their work progress in the company’s cloud-based system.

Then, workers can keep track of their remote work progress when they go back to the office. A report shows 70% of companies are using collaboration tools and are seeing significant improvements in team performance.

Moreover, workers expect their workplace to provide them with a well-connected network. In an internal study of Microsoft employees, 59% of interviewers said they had to use their phones as hotspots to avoid disconnections.

Thus, you must provide employees with a good network system to attract them back to the office.

What setup can support your hybrid office?

A hybrid office should use a functional office management system, which helps Singapore employees use office resources efficiently, such as rooms, desks, and office equipment, and support them to have remote work and virtual meetings with their colleagues in the office.

ONES is one of the famous all-in-one smart office systems that can help you to easily implement hybrid working at ease. ONES can easily help you to perform virtual meetings, desk hoteling, and digital office management with our Room Booking, Desk Booking, and Visitor Management feature.

The post 5 Essential Features of a smart office in 2023 first appeared on ONEs Blog.

]]>
Smart Office is not a new term, but the epidemic has increased the speed of its development in recent years.

Over the past decade, different companies have been working to improve the design of their offices, with the aim of enhancing office efficiency, quality, productivity, employee health and satisfaction, etc…

As a result, a variety of smart offices have been created. However, there is no standard for the perfect smart office, also there are some primary conditions that must be met to be called a “smart office”.

First of all, what is a Smart Office?

A smart office uses technology to support the management process, and all management methods are electronic, from the front desk service (e.g., visitor management) to the back-office equipment management (e.g., room booking) are managed by different systems.

Also, a smart office is a work environment in which innovation enables employees to work flexibly, faster, and smarter.

Why do you need a smart office?

Smart office aims to improve the quality and efficiency at work, leaders and staff alike expect the office to use advanced technology to give guests a professional and modern impression when reporting.

Moreover, making offices intelligent can help reduce paper consumption and solve the problem of discarding large amounts of furniture, thus making them more sustainable. That’s why need a smart office.

How does it work?

Using the established Smart Office Internet of Things (IoT), which is the network of the office with hardware devices (such as floor monitors, room monitors, desktop monitors, etc.) and software (i.e., office management system), combined to operate and manage the whole management process.

Users can adjust the temperature, lights, and office facilities’ on-off function from anywhere, anytime via cell phone or tablet via room automation. You can even reserve rooms or equipment, ensuring the equipment you needed is not rented by others and saving your time from searching for empty rooms.

Smart Office Essential Features

A Smart Office aims to provide a healthy and comfortable working environment to make employees happier at work, thus improving their ability to work. Then, with the support of technology, helps employees work faster and more efficiently.

ONES – All-in-one smart office system

Flexible work desk

Most offices provide hot desks to the staff, which allows them to work flexibly. Hot desking is an organizational workspace system in which desks in a workspace are used on an ad-hoc basis.

Instead of having only one designated space or permanent desk, hot desking allows employees to use any available mobile desk and is a strategy that helps increase flexibility and encourages collaboration.

The benefits of using a hot desk are that it maximizes space efficiency and reduces redundant office space to save on operating expenses.

A more relaxed meeting process

The first step in conducting a meeting is to find a suitable meeting room. According to a report, each employee spends an average of three weeks a year looking for an empty meeting room. This not only wastes their time but also affects their productivity.

Using a room booking system in a smart office can prevent the time of your staff from being wasted. A room booking system is used to reserve conference rooms or shared resources. Employees can use the system to reserve and manage conference rooms, guests, services, video conferencing, lockers, or any other area through a single platform.

If the meeting schedule changes, all relevant modifications are made immediately, and notice all the staff in instant, keeping everyone involved in the know.

Places that support quiet and independent work

When remote workers return to the office, they need a separate workspace.

Focus Room

A focus room also known as a concentration room or Pod, gives a location for employees to make private video conversations or solo productivity sessions. Also, it provides soundproof equipment.

Quiet Car

It is an individual, focused work area in the workplace.

Employees who need to tune out and focus on their job without being distracted by a crowded workplace environment sometimes choose quiet cars.

Venues to inspire creativity and innovation

Sometimes, employees lack inspiration in their work, which affects their performance. At this moment, some specific facilities or work areas can help them to regain their inspiration and get back on the road to work.

Brainstorm room

A room that encourages collaboration and innovation, is also known as a project room or battle room. Sofas, cushions, and armchairs are frequently used to help staff feel more relaxed.

Residents are typically equipped with more informal furniture to make them at ease. It is mainly used for both big projects and smaller sprints that require additional board space or other office resources.

Huddle room

A huddle room is a tiny conference room where individuals may meet quickly and effortlessly. Also, people can work together in there and collect ideas from others. Best for gatherings of a small number of individuals around 2-6, whether planned or unplanned.

A multi-media audio-visual system and a board space are usually included in these meeting spaces.

Room Automation

Smart Light is a key component of the smart office and is often the first step in creating a smart office.

According to Gartner’s studies, smart light can reduce energy costs by up to 90%, so companies will start with smart lighting first. There are five key aspects of smart lighting: LED bulbs, IoT sensors and controllers, connectivity, analytics, and intelligent sensors.

Another major initiative for smart offices is intelligent climate control, as air conditioning accounts for a high proportion of corporate spending costs.

Using a mobile device to adjust the office to the right temperature, in order to provide a comfortable working environment for employees.

Smart office systems like ONES can help you integrate your lighting, temperature, and equipment control with a single platform for you to manage. You can just check in and out of your room and the rest will be done by the automation system.

Prepare your smart office for 2023

There are practically no restrictions on how the trends in smart offices may help you now and in the future as long as smart technology solutions continue to advance.

Smart office systems have the potential to enhance every aspect of the workplace, including productivity, health and safety, host desking, and employee well-being.

Employing a skilled installer who can create and deploy a unique smart office system tailored to your company’s needs is essential if you want to take full advantage of what smart technology has to offer.

Why Hybrid work matters in Taiwan https://ones.software/blog/2022/11/21/why-hybrid-work-matters-in-taiwan/?utm_source=rss&utm_medium=rss&utm_campaign=why-hybrid-work-matters-in-taiwan Mon, 21 Nov 2022 03:06:22 +0000 https://ones.software/blog/?p=2595 Hybrid working is one of the major concerns for Taiwanese workers now.

The post Why Hybrid work matters in Taiwan first appeared on ONEs Blog.

]]>
Working from home (WFH) became a mainstream work style regulated by the labor authority on June 23, 2021, when Taiwan’s Ministry of Labor (MOL) announced the “Occupational Safety and Health References Guidelines on Working from Home”.

Meanwhile, hybrid working is one of the major concerns for Taiwanese workers as they will consider if the company can provide a hybrid working option when they change jobs, based on the Cisco survey.

What Taiwanese workers want

In January 2022, 104 Data invited 2,755 Taiwanese employees and 2,637 Taiwanese employers to share their thoughts on new ways of working.

The study results are illuminating: 82% of those who have worked from home think that hybrid working policies can boost employee satisfaction, while 79% agree that they can increase corporate satisfaction.

However, when it comes to working styles, employers and employees have opposing views.

Employers prefer that their employees come into the office, but employees prefer hybrid work or working from home. Both sides, however, prefer to work three days in the office and two days at home.

Learn more about hybrid working: A Full Guide to Hybrid Work: What is hybrid work model and why it is important?

Hybrid working improves well-being

Cisco’s latest global hybrid work study shows that hybrid working improves five areas of well-being.

According to the research, 60% of Taiwanese employees surveyed believe that their job quality has improved due to the hybrid working model, and more than half of the employees believe that their productivity has improved.

More than two-thirds said their mental health had improved. While one-third said there had been no change, 42.8% said their social well-being had improved.

For example, for financial well-being, 81% of Taiwanese employees believe that they have saved a lot of money through the hybrid office in the past year;

They saved an average of NT$4,320 per week and NT$226,105 a year. Transportation (87%) and food and entertainment (73%) are the areas where Taiwanese employees save the most.

Reducing expenses for employees also helps to retain talent. 75% of the respondents said that when considering changing jobs, they would take the saved expenses into consideration.

It is clear that hybrid working is here to stay, and for good reason as employees and businesses alike see tangible benefits across key indicators – from improved overall employee wellbeing to better productivity and work performance.

Anupam Trehan, Director, People and Communities, Cisco India & SAARC

Taiwan companies need to get prepare for hybrid working

Microsoft believes that flexible hybrid work models are here to stay. Over 70% of employees want flexible remote work options to continue, and 65% want more in-person time with their teams and collaboration in the workplace.

Although hybrid work has become a widely accepted working model among Taiwanese employees, only a quarter of employees believe that their companies are “fully prepared” for the future of hybrid offices. There are still gaps in resource policies and procedures.

104 Data study identifies key success criteria for hybrid work and work-from-home policies, including flexibility and productivity, a culture of trust, clear corporate goals, and enough efficient software and hardware.

Meanwhile, hybrid and work-from-home roles increased by 4.6 times in the last three years but only accounted for 1.5% of the recruiting market, indicating that innovative modes of working still have a long way to go in Taiwan.

What should you do for your hybrid office now?

If employers want to retain their talent, they must accommodate what employees want and make changes to incorporate a hybrid work model.

Flexibility is required as the workforce places a greater emphasis on worker well-being and better work-life balance. Whether corporations like it or not, hybrid work appears to be here to stay.

Hybrid working (混合式工作) , a working style that mixes work-from-office and work-in-the-office, has become one of the major concerns for Taiwanese workers as they will consider if the company can provide a hybrid working option when they change jobs, based on the Cisco survey.

A Meeting Room Booking System (MRBS) (房間管理系統) can help you to adopt a hybrid working style. Some studies have shown a 73% increase in the need for meeting rooms in hybrid office spaces.

Meeting rooms in flexible workspaces provide the ideal in-between office space, providing a solution that is both professional and casual enough to be used on an as-needed basis.

Credit Suisse CEO Says We’ll Never Go Back to Office Full Time
 • Survey discovered that employees who choose the most flexible work options were the most productive.
 • Swiss Universal Bank employees will be able to select a work model that provides them with maximum freedom, based on their field of activity.

According to Bloomberg, Credit Suisse Group AG Chief Executive Officer Thomas Gottstein doesn’t think banks will ever return to working full-time from the office.

“It’s unrealistic and it is not what employees want,” he said in an interview at the World Economic forum in Davos on Monday, 23rd May 2022. “We are in a soft way trying to encourage people to come back, but it’s counterproductive if you push too hard.”

Credit Suisse Group AG has already planned to launch a pioneering remote work model that gives its 13,000 employees in Switzerland “maximum flexibility.”

According to a bank statement, employees will select how they would divide their time between home and the office based on their position.

By joining New Ways of Working (N-WOW!) study, between July and December 2020, Credit Suisse workers from all business sectors in Switzerland tried various work arrangements – both with and without restricted office presence. The study’s findings were largely favorable, demonstrating that being present in the workplace is not always necessary for productive work.

On the contrary, the survey discovered that workers with the most flexible work models were the happiest and want to work from home or another non-office location two-thirds of the time in the future. It was also shown that employees who choose the most flexible work options were the most productive. Furthermore, the study found that new modes of working carry with them new obstacles.

Although managers and team members can gain management skills when working from home, the study raised concerns about the possible detrimental influence of remote working on performance evaluation and career advancement.

As we prepare for a post-pandemic world, our aim is to become more flexible and agile when it comes to working arrangements.

Andre Helfenstein, Credit Suisse Switzerland CEO

Swiss Universal Bank employees will be able to select a work model that provides them with maximum freedom, based on their field of activity, and allows them to decide how and where they want to work for themselves, in collaboration with their teams and line managers.
